    Appointment Setting KPIs and Benchmarks: What Good Looks Like

    If you cannot say which stage of your outbound funnel is underperforming, you cannot fix it. These are the nine numbers to track and the benchmarks to judge them against.

    1. Connection acceptance rate

    Benchmark 25-40% on LinkedIn. Below 20% means the profile looks untrustworthy or the targeting is off.

    2. Reply rate

    Benchmark 15-30%. Below 10% is almost always a first-message problem, not a volume problem.

    3. Positive reply rate

    Benchmark 20-35% of all replies. Below that suggests the offer is mismatched to the audience.

    4. Reply-to-booking rate

    Benchmark 8-15% of positive replies. This is where reply latency dominates: answers within minutes convert dramatically better than answers hours later.

    5. Attendance rate

    Benchmark 75-90% with confirmation sequences. Below 70% points to weak qualification or no reminder cadence.

    6. Meeting-to-opportunity rate

    Benchmark 40-60%. Low numbers here mean the qualification bar is too loose, regardless of how good the volume looks.

    7. Cost per attended appointment

    Benchmark $150-$300 for outsourced B2B programmes. Compare across vendors only on attended, never booked.

    8. Cost per opportunity and per closed deal

    The two numbers your CFO cares about. Attended appointment cost divided by meeting-to-opportunity rate, then by close rate.

    9. Time to first meeting

    Benchmark 7-14 days from launch. Longer means infrastructure was not ready.

    Diagnostic shortcuts

    Low acceptance means fix the profile and targeting. High acceptance with low replies means fix the first message. High replies with low bookings means fix reply speed and the booking ask. High bookings with low attendance means fix confirmation and qualification. High attendance with low opportunities means tighten the qualification bar.

    Reporting cadence

    Review stage conversion weekly, cost per opportunity monthly, and channel mix quarterly. Weekly reporting on volume alone tells you nothing actionable.
