How to Choose an Appointment Setting Agency (12-Point Checklist)

Most appointment setting agencies look identical on their homepage. The differences only appear in the contract and in month two. Use this checklist on every vendor call.

    1. Attended or booked?

Ask them to define an appointment in writing. If the definition is 'booked', you carry all the no-show risk.

    2. What happens on a no-show?

The right answer is replacement at no cost, stated in the agreement.

    3. Which channel, and why that channel for my ICP?

A vendor who cannot justify the channel against your buyer is guessing. We run LinkedIn exclusively because B2B decision-makers are reachable, verifiable and responsive there.

    4. Can I see the exact copy going out under my name?

Your brand is on every message. Approval rights are non-negotiable.

    5. Who handles replies, and how fast?

Reply latency is the single biggest lever on booking rate. Minutes beats hours.

    6. What is the qualification bar?

It must be written down and agreed before launch, not negotiated after a bad meeting.

    7. Time from signature to first meeting

Anything beyond 14 days suggests infrastructure is being built from scratch on your dime.

    8. Contract length and exit terms

Prefer short commitments or outcome-based pricing. Twelve-month lock-ins with no performance clause favour the vendor only.

    9. Reporting cadence and metrics

Weekly reporting covering outreach volume, reply rate, meetings booked and attended. Anything less is a black box.

    10. Client references in your segment

Ask for a reference with a comparable ICP and deal size, not their single best logo.

    11. Data handling and compliance

GDPR posture, data storage, and what happens to your lists at the end of the engagement.

    12. What does scale look like?

You want a clear path from 10 meetings a month to 100 without renegotiating from zero.

    Scoring the answers

A strong agency answers all twelve with specifics inside one call. If you get three or more vague answers, keep looking.

    Frequently asked questions

How much should a B2B appointment setting agency cost?

Attended appointments generally cost $150-$300 each, and monthly retainers run $3,000-$12,000. Price per meeting should fall as volume rises.

    Should I sign a 12-month contract?

Not for a first engagement. Prefer a one-time package or an outcome-based agreement so you can judge results before committing long term.
